CHALLENGE

Managing hundreds of agents is hard enough. Fielding inquiries about the status of their deals was overwhelming for this Real Estate company that specializes in matching loan officers to agents and buyers. As they began to grow exponentially, the day to day time investment was overwhelming and creating challenges that required them to automate their referral platform and give the LO’s a platform to login and see the status themselves. Since the information the LO’s needed was just a status with a quick comment and date, they needed a way to automate this information without spending the additional 30,000 dollars for Salesforce.com Communities.

APPROACH

OSA led a collaborative team to explore needs and technologies. Through this discussion, the OSA team identified the critical success factors and planed a web based solution using both native SFDC features and custom APEX development. OSA developed functionality on the contact object that allowed the SF user to check a field to add the contact to the portal. This action also generated a password and upon saving triggered a workflow sending the new credentials to the contacts email address allowing them to login and see only their opportunities based on a status field.

RESULTS

OSA was able to save Boardwalk Realty over twenty two thousand dollars in recurring yearly charges and give their agents a scalable portal solution to see the status of their individual deals and opportunities.

After identifying gaps in their reporting, OSA built reports and dashboards from information on their receivables and historical profitability. We designed a call campaign complete with touch cycles and activity reporting so to increase sales.
